Team members who no longer participate in team activities or do not submit outputs required by the team may be identified as INACTIVE provided the team has exhausted all efforts to communicate and work together.
Steps:
1️⃣ Team may report the situation during a consultation meeting with the subject professor.
2️⃣ Project manager (PM) writes a formal letter of warning or recommendation for the removal of the member from the team (with a cc of the email sent to the adviser). At this point, the member will be on probation status until the next milestone checking cycle.
3️⃣ Member then replies to the email with cc to the adviser acknowledging receipt of the warning and actions or measures that will be taken to become a more active, productive, and contributing member of the team.
4️⃣ If the member remains inactive or has not provided a sufficient reason for not having accomplished assigned tasks, the decision for removal of the member will be decided in the consultation meeting of the succeeding cycle. PM issues a formal letter of dismissal to the member identifying the reasons why the member can no longer be part of the team.
